The Administrative and HR Assistant provides administrative support by: conducting research, preparing projects, handling information requests and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, scheduling meetings, onboarding employees, and managing files and compliance paperwork.
Creates job descriptions and posts open jobs Screens resumes and schedules interviews Handles new employee onboarding Runs background checks and manages new hire paperwork and employment verification Advises management on policy and procedure Updates handbook, policy, posters, etc. as needed Manages and maintains schedules Arranges travel and reservations for team Prepares expense reports and submits for reimbursement Compose reports, memos, letters and other documents Prepares response to correspondence containing routine inquiries Creates and updates spreadsheets and other documents for various projects Answers phones and directs all incoming calls to appropriate manager for resolution Opens, sorts and distributes mail and correspondences Coordinates conference calls Organizes and arranges meeting to include, but not limited to preparing agendas, reserving facilities and ordering food if necessary Organizes and maintains filing system Makes copies and faxes documents Logs and codes invoices as needed Prepares and updates project binders Completes other projects and special assignments as requested by supervisor and/or senior management
