Description

Overall Responsibilities:

This Receptionist, or Front Desk Receptionist, is responsible for performing clerical tasks within an office setting to support daily operations. Their duties include answering and transferring phone calls to employees, sorting and delivering mail to employees and greeting visitors when they arrive for meetings with employees or picking up prizes.

Specific Responsibilities:

  • Responding to all customer inquiries in a polite and timely manner.

  • Directing visitors to the correct person, office or conference room for meetings.

  • Answering and transferring incoming phone calls to appropriate employees.

  • Responsible use of intercom to page employees for emergent phone calls.

  • Sorting and delivering incoming mail. Metering outgoing mail and coordinating USPS pickup. Routing UPS and FedEx packages.

  • Organizing winner prizes for in-person, email or mail distribution.

  • Inventory Creation & Maintenance, Order Processing, Fulfilment and Customer Support of Woodward’s Big Deals online gift certificate store.

  • Shopping and restocking company vending machine.

  • Updating content on front lobby monitor and outdoor sign as directed.

  • Assisting other departments as needed. Other duties as assigned.

Skills: Verbal and written communication skills to interact clearly with audience, clients, customers, vendors and other employees, organization skills to keep accurate records and find important information quickly, time management skills to prioritize and complete a side variety of tasks throughout the day

Knowledge:High School diploma and one year minimum of experience in general office receptionist duties.
