Sutter Health Unit Secretary in Antioch, California

Position Overview:

The primary role of the Unit Secretary is to perform clerical work as assigned by the Nurse Manager/Director and/or Charge Nurse. He or she maintains a line of communication between the patient and clinical staff. He/she assists with the flow of patients throughout the facility, from one facility to another, communication and inventory control. Answers phones in a courteous manner and directs and provides information to patients and visitors. Places Work Orders. Puts away supplies.

Job Description :

Patient Care Process

  • Coordinates patient admission to or discharge from the unit.

  • Registers patients, obtaining insurance information and ensuring COAs are signed.

  • Coordinates transport of specimens and supplies to correct location.

  • Coordinates inventory and orders supplies with monitoring of usage and wastage.

  • Maintains patient privacy and confidentiality at all time.

  • Schedules patient transportation via Sutter Health Transport Center or any other designated transport via website or phone.

  • Transfers patients through phases of care within the EHR.

  • Registers, admits, pends, transfers and discharge patients throughout their stay.

  • Reviews and changes patient accommodation codes as needed.

  • Schedules C section cases in the EHR

  • Schedules injection appointments for patients in the EHR

Documentation

  • Responsible for assembling all medical records accurately according to established sequence and procedure.

  • Maintain and update acuity sheets,EMTALA log and Delivery log each shift.

  • Responsible for documenting staffing calls and staff responses on staffing sheets.

  • Completes chart audits pursuant to established criteria by department manager.

  • Reviews Out-patient charges and if discrepancies are identified, notifies manager and/or enters respective charges in EPIC.

  • Discharges patients from Out-patient status, using OB check log and documents

Communication

  • Has excellent customer service skills, positive communication at all times.

  • Answers and prioritize telephone calls in a courteous manner identifying self and unit at all times.

  • Answers call bell within 3 rings in a courteous manner and screens calls for nurses. If able to handle call, they will do so.

  • Communicates staffing needs throughout the shift as census changes.

  • Gives direction and information to visitors and families in a courteous manner.

  • Coordinates flow of information to and from other hospital departments, physician and community agencies.

  • Maintains ongoing communication with department manager and charge nurse.

  • Assists in orientation of new staff as it pertains to secretarial duties.

  • Requisitions for repairs and maintenance of equipment are done in a timely manner with follow through on repairs.

  • Maintains an adequate supply of patient forms, office supplies, etc.

  • Identifies and reports problems which require further assessment to nursing staff, charge nurse and/or nurse manager as indicated.

Unit specific

  • Maintains current knowledge of all safety codes (fires, code white, code pink, disaster) and participates as assigned.

  • Demonstrates knowledge of equipment on unit. Central Fetal monitoring system, Newborn Security system, Call Bell, Phones, Door Release system, printers and copiers.

  • Demonstrates knowledge of equipment on unit. Notifies engineering of any potential hazards or broken equipment. • Pre – schedules all patients within EPIC.

  • Transcribes patient information from the prenatal record into the patient’s electronic health record.

  • Reviews charges timely, within the electronic health record for each patient visit. Correcting charges as needed.

  • Reviews exception forms and corrects within Kronos.

  • Assists with the stocking of patient rooms and ensuring all equipment is present.

  • Monitors central monitoring system and removes patients following delivery.

  • Schedules all outpatient procedures.

  • Assist with daily staffing needs at the direction of the charge nurse or nurse manager.

  • Maintains technical expertise. Recognizes both technical and non-technical problems and resolves them effectively.

  • Takes responsibility for ongoing personal development and professional growth. Shares pertinent information with co-workers.

  • Alerts Manager/Charge Nurse in a timely manner when irregularities are encountered which cannot be independently resolved.

  • Responds to problems and conflicting priorities calmly and effectively resulting in neither the quality nor the quantity of work performed being compromised.

  • Reviews all written policies and procedures relating to the section at least annually and documents appropriately.

  • Regularly inspects equipment to ensure it is in proper working order.

  • Recognizes equipment malfunctions and initiates appropriate trouble-shooting activities to correct minor problems. Major problems are reported to Manager/Charge Nurse in a timely manner to minimize downtime.

  • Adheres to the Code of Conduct set forth in Sutter Delta Medical Center, standards for business conduct policies and procedures.

  • Perform duties in a safe, ethical and honest manner, and promptly and appropriately addresses any potential violations of the Sutter Delta Medical Center standards for business conduct policies and procedures.

  • Other duties as assigned.

EDUCATION

  • HS Diploma or General Education Diploma (GED)

CERTIFICATION & LICENSURE

  • BLS-Basic Life Support Healthcare Provider Preferred

PREFERRED EXPERIENCE AS TYPICALLY ACQUIRED IN:

  • Data entry and computer skills Required

  • Prior experience as unit secretary Preferred

SKILLS AND KNOWLEDGE

  • In-depth knowledge of medical terminology.

  • Ability to work with all levels of nursing personnel and physicians and assist them in a resource capacity.

  • Must be familiar with all applicable medical laws and regulations, especially regarding the dissemination of patient information.

  • Computer skills.

Pay Range is $28.03 to $35.19 / hour

The salary range for this role may vary above or below the posted range as determined by location. This range has not been adjusted for any specific geographic differential applicable by area where the position may be filled. Compensation takes into account several factors including but not limited to a candidate’s experience, education, skills, licensure and certifications, department equity, training and organizational needs.
