Job Summary
The Office of the Dean in the College of Literature, Science, and the Arts (LSA) is seeking an experienced Administrative Coordinator. This position will provide varied administrative and functional support as a member of the dean's front office team and will perform a diverse set of responsibilities, providing support to the Deans Office including, but not limited to, the Associate Deans, as operational needs arise. Key characteristics of this position include providing confidential and professional administrative support while exercising a high level of initiative, discretion, and attention to detail. While working in a fast-paced environment, the individual handles complex duties and interacts with all levels of the College, University, and external stakeholders. The ability to manage multiple projects with concurrent deadlines, work well as a team member and independently, and provide excellent customer service are essential. Flexibility, dependability, and excellent interpersonal, organizational, communication, and time management skills are key attributes of a successful candidate.
This is a hybrid role. When you are onsite, you will work from our office in the LSA building in Ann Arbor, Michigan. We are looking for candidates willing to work a hybrid work schedule with four days onsite and the opportunity for one day of remote work per week. The target salary for this position is between $51K - $60K. Candidates with a history of exceeding job performance expectations may qualify for a higher salary.

Responsibilities*
Administrative Support Duties - 35%
Provide day-to-day administrative support to the administrative leader(s) as well as other areas assigned including coordinating and preparing for meetings in a timely manner.
Prepare meeting agendas and draft and edit correspondence and emails.
Assist with administrative projects, workshops, training sessions including drafting presentations and communication materials.
Attend meetings as requested; take minutes and notes, track action items and decisions, and generate follow-up correspondence.
Handle, triage, and prioritize incoming inquiries from faculty, students, and staff.
Manage day-to-day needs of the Deans Office administrators including interfacing with IT and management of office telephones, conducting inventory, and ordering office supplies as needed.
Coordination Duties - 45%
Develop and maintain systems and trackers to ensure that deadlines are met and materials are received on a timely basis.
Maintain files, correspondence, and documentation in an organized and confidential manner.
Provide support to update websites and materials.
Coordinate domestic and international travel arrangements, ensuring all necessary materials and supplies are compiled, itineraries are prepared, and expense reports are submitted and reimbursed.
Develop and maintain strategies for managing information across multiple systems (DropBox, Google Suite, etc).
Maintain email listservs, rosters, and organization charts, and contact information for campus partners and units.
Draft reports and coordinate information flow for projects, workshops, and training sessions as requested.
Coordinate special events, assisting from inception to completion.
Other Duties Assigned - 20%
Serve as backup for other offices, specifically in the deans front office, when needed.
Support the LSA Deans front office in maintaining select pages on the LSA Deans Office website and deans office-related pages on the LSA gateway (a college-wide intranet).
Support deans office-related events as requested.
Required Qualifications*
At least three years of relevant work experience.
Proven ability to perform a variety of administrative tasks efficiently and accurately.
Ability to effectively communicate, verbally and in writing, with diverse stakeholders, preparing reports, and conveying information clearly.
Ability to prioritize tasks, manage time effectively, and maintain organized records, especially when juggling multiple projects or activities.
Competency with standard office software (e.g., Microsoft Office Suite, Google Workspace, or similar).
Strong attention to detail is crucial for ensuring accuracy in record-keeping, report preparation, and other administrative tasks.
Skilled at customer service, including dedication to meeting needs, utilizing feedback for service improvements, and building strong, trusting relationships.
Basic knowledge of website content management systems, including practices for creating, updating, and deleting content.

The position requires on-campus/in-person work from the Ann Arbor campus with some time working remotely, based on operational needs.
