What can you expect?

As the Human Resources Coordinator, you will be responsible for supporting the HR Department team with HR-related administrative tasks. You will work to support the HR functions across all Calista Brice subsidiaries including but not limited to recruiting, on-boarding, data entry, file maintenance, internal record audits, data preparation for reporting, and HR document preparation. You will also help with invoice reconciliations. A primary function of this role will be the preparation and maintenance of department procedural and process documentation.

How will you do it?

  • Maintain knowledge of and ensure compliance with employment related laws and regulations in the Federal, State, and local areas where the companies work.
  • Support the overall HR department, members of HR leadership and teams as assigned.
  • Maintain electronic personnel files and assist with team development of record management across large geographical areas, including records in the HRIS system (Workday)
  • Ensure HIPAA processes are followed by maintaining PHI confidentiality.
  • Answer/route incoming phone calls and assist in answering employee general questions.
  • Complete all employment verifications and provide information for Unemployment Claims.
  • Assist with developing and maintaining department SharePoint files and document library.
  • Prepare and maintain HR department process maps, procedural documentation, and associated forms.
  • Assist with entering and pulling information accurately from the HRIS system regarding personnel file documents and information.
  • Assist with processing employee compliance training programs.
  • Participate in job fairs and community events.
  • Assist with company sponsored events for shareholders and descendants.
  • Assist with compliance related activities such as, but not limited to required work site postings, EEO-1, Veterans 100, and E-Verify.
  • Assist as needed with the new employee onboarding process, including completing new hire paperwork, communicating and enrolling in benefit programs, and coordinating training.
  • Assist with the preparation, review, and revision of all employee-related forms including new hire forms, benefit enrollment, employee communication, employee handbooks, and other employment related forms.
  • Assist as needed with preparing and providing records for payroll processing systems.
  • Process self-billing and invoice preparation review and reconciliation to Employee and general ledger (G/L) records.
  • Assist with training coordination as needed.
  • Assist with record management and document preparation for annual performance reviews, merit increases, and bonus calculations.
  • Assist with gathering compliance postings and other posting requirements. Maintain a log of needed postings by work areas for subsidiary companies.
  • Assist with tracking and maintaining shareholder records as needed for coordination with corporate human resources department reporting needs.
  • Review, process, and maintain the Education Reimbursement Program.
  • Enter and maintain personnel related records in Spectrum and Deltek/Costpoint.
  • Participate as an active team member with t e Human Resources department.
  • Attend related Human Resources training; stay apprised of HR best practice updates.
  • Provide exceptional levels of customer service and timely follow-up with external and internal customers.
  • Work in a constant state of alertness and in a safe manner.
  • Perform other duties as assigned.

Supervisory Responsibilities:

This job does not have any direct supervisory responsibility.

Knowledge, Skills and Abilities

  • Knowledge of the principles and practices of human resource administration.
  • Intermediate knowledge of principles and procedures for personnel recruitment, selection, training, compensation and benefits, labor relations and negotiation, and personnel information systems.
  • Knowledge of local, federal, and state employment laws and regulations, including Alaska Regional Native Corporation practices.
  • Advanced computer application skills, including MS Office Word, Excel, and Outlook.
  • Ability to use HRIS (Human Resource Information Systems) programs.
  • Ability to work both independently and as part of a team.
  • Ability to analyze and resolve complex issues, both logical and interpersonal.
  • Ability to professionally communicate with others using verbal and written methods.
  • Ability to compute rates, ratios, and percentages and to draw and interpret graphs.
  • Ability to participate in and facilitate group meetings.
  • Ability to take ongoing educational courses to stay current on laws and best practices.
  • Ability to work a flexible schedule.
  • Ability to operate a motor vehicle in a safe and efficient manner.
  • Ability to travel up to 25% of the time.
  • Ability to work in a Native Corporation multi-business environment.

Who is Calista Brice LLC looking for?

Minimum Qualifications:

  • High school diploma or equivalent required.
  • Two or more years experience in Human Resources.
  • Valid state drivers license and qualified to operate a vehicle under the conditions of the Calista Brices Driving Policy required.
  • Ability to pass drug, driving, and background screening.

Preferred Qualifications:

  • Associates degree in Business related field (Human Resources Management or related field) preferred.
  • PHR/SPHR (or SHRM-CP/SHRM-SCP) or equivalent preferred.
  • Previous experience working in Workday, Spectrum, Deltek, and/or Costpoint preferred.
