ODYSSEY CHARTER SCHOOL Front Office Receptionist in AMERICAN FORK, Utah

Position Summary: We are seeking a welcoming, organized, and detail-oriented Front Office Receptionist/Assistant to be the face of Odyssey Charter School.  This individual will be the first point of contact for visitors, students, and staff, providing excellent customer service while handling a variety of administrative tasks that keep our school running smoothly. The ideal candidate is friendly, professional, and able to multitask in a busy environment.


Key Responsibilities:

  • Front Desk Operations: Greet and assist visitors, parents, students, and staff with inquiries in a professional and courteous manner.
  • Communication: Manage incoming calls and emails, directing them to the appropriate staff members and departments.
  • Attendance & Records: Maintain accurate attendance records, student files, and daily logs.
  • Administrative Support: Provide general administrative support, including filing, data entry, and organizing office supplies.  Collect payments for various events.
  • Event Coordination: Assist with school events and meetings, including scheduling, set-up, and communication with families.  Present information to others.
  • Student Services: Handle student check-ins, check-outs, and late arrivals; issue visitor badges and maintain visitor logs.
  • Mail Distribution: Sort and distribute mail and deliveries to appropriate staff members.

Qualifications:

  • Education: High school diploma or equivalent; additional education or training in office administration is a plus.

  • Experience: Prior experience as a receptionist, administrative assistant, or in a customer service role preferred.

  • Skills:

    • Strong communication and interpersonal skills.  Communicate with diverse populations.
    • Proficient with office software, including Microsoft Office and Google Workspace.
    • Ability to multitask, prioritize, and manage time effectively.
    • Excellent organizational skills and attention to detail.
    • Friendly, approachable, and professional demeanor.
    • Works well under pressure and on a team
    • Ability to adapt to changing work priorities, flexibility.
    • Strong decision-making and ability to take initiative.
    • Able to understand complex, multi-step written and oral directions.
    • Monitor and assist students when necessary (playgrounds, cafeteria, parking lots, etc.)
    • Assist students sent to the front office for accidents or illness.
    • Prepare standardized documents (calendar, emails, letters) for communicating to staff and families.
  • Requirements:

    • High school diploma or equivalent
    • Ability to operate standard office equipment
    • Knowledge of various social media platforms
    • Knowledge of Canva, Word, Excel, Google Docs, and Google Sheets
    • Able to lift 50 lbs.
    • Job-related experience is desired
    • Criminal justice fingerprint/background clearance


Working Conditions:

  • Ability to work in a fast-paced, sometimes noisy environment.
  • Must be able to sit for extended periods and perform light physical tasks such as lifting office supplies.
  • Occasional lifting, carrying, pushing, pulling, kneeling, crouching, crawling.
