Description We are seeking a Service Assistant for our Amarillo, Texas location. This role involves managing client service issues, maintaining accurate client records, and providing support to our team. As a Service Assistant, you will play a vital role in ensuring our clients receive an exceptional service experience.

Responsibilities:

• Manage and handle incoming client calls, ensuring all inquiries are addressed promptly and efficiently

• Schedule appointments for advisors, ensuring clients are directed to the appropriate team member

• Maintain and update client records in our database, including any changes in address, phone, or email

• Process client requests for wire transfers and checks, entering any relevant comments into our database

• Proofread and approve outgoing correspondence such as letters, emails, and promotional materials

• Maintain compliance files and office calendar for smooth office operations

• Act as the office concierge, creating a welcoming atmosphere for all visitors

• Ensure all forms necessary for establishing new accounts or servicing existing accounts are correctly filled out and submitted in a timely manner

• Update clients on long service problems, providing regular updates through voicemail, telephone contact, or email

• Perform weekly backups of our database, ensuring all client information is secure and up to date. Requirements

• Proficient in Invoice Processing

• Proficient in Microsoft Excel

• Experience in Document Control is required

• Must be skilled in Data Entry

• Ability to Process Check Requests is a must

• High level of attention to detail and accuracy

• Strong verbal and written communication skills

• Ability to multitask and prioritize tasks efficiently

• Strong organizational and time management skills

• Ability to work independently and as part of a team

• Demonstrated problem-solving skills
