Air Products has an immediate opportunity for an Administrator working onsite, with some flexibility, at our Global HQ in Allentown, PA.

We are seeking a highly organized and proactive Executive Assistant to support three leaders in Finance Business Services (FBS) at our HQ in Allentown, PA. This person will be a shared resource supporting the VP Finance, Executive Director Finance, and Director of Operational Excellence. This pivotal role requires a dynamic individual with exceptional communication and multitasking skills, capable of managing executive-level operations in a fast-paced environment. The ideal candidate will have a proven track record in administrative support, a strong attention to detail, and the ability to handle sensitive information with discretion, ensuring seamless coordination across teams. Additionally, this person will need to be able to prioritize direction from three strong leaders and manage responsibilities, accordingly.

Key Responsibilities, but are not limited to:

Calendar management: coordinate and manage schedule, prioritizing meetings, ensuring conflicts are avoided and work with other admins to coordinate and schedule meetings.

Email management: monitor and help manage inbox, respond to routine emails, flag important emails for follow up, manage distribution lists, and cascade broad communications to the team(s).

Meeting scheduling: Arrange internal meetings, ensure appropriate attendees, locations, agendas, rooms are reserved without conflict, prepare the bi-weekly team meeting agenda, ensure zoom and other IT enabled support is functioning, and follow up on actions, etc.

Travel and Expense reporting: support travel arrangements and visa applications, submit expense reports.

Event planning: Assist in organizing quarterly larger team meetings, events, including logistics, agendas and follow up, order food, reserve outside venues, coordinate across functions, internally and externally, etc.

Document preparation: Update/Prepare Delegation of Authority forms, print and prepare materials for meetings.

SharePoint and DOA Management: Maintain and update the teams SharePoint site and manage Delegation of Authority (DOA) documents.

Support system access requests, and basic support for new hires and on-boarding.

Principle Accountabilities:

Ability to manage an executive calendar and prioritize activities, ideally with prior experience in communicating with other executives and their support staff.

Intuitive and resourceful, anticipate needs and develop solutions.

Strong communication skills to act as an ambassador on behalf of the executives and the organization.

Proficiency in Microsoft tools (Outlook, Word, Excel, PowerPoint, Teams) to create correspondences, presentations, agendas, reports, and update SharePoint sites. SAP and Workday experience would be beneficial.

A strong focus on safety and dedication to the principles of Air Products' Basic Safety Program

Requirements / Qualifications:

High school diploma or equivalent required

5-7 years of experience in supporting senior level roles in a global organization.

Proactive, flexible with unexpected and sometimes complicated changes.

Ability to balance priorities and work independently to meet deadlines.

Experience working with confidential and sensitive material with integrity and highest ethical standards.

Work Hours / Travel Requirements:

Schedule: Monday to Friday

Typical Hours: Business Hours (8am-4pm)

Work Model: Onsite, some flexibility

Nights/Weekends/Hol days: no/as needed (emergency)

Typical Travel: no travel
