Director of Practice Operations – Physicians Practices (MGPS) - Capital Region, NY

Position Summary:

The Director is responsible for hiring and supervising of non-management staff, including staffing and scheduling oversight. Oversees day to day operation of one or more hospital based practices, ensures maintenance of record and reporting systems for practices, including medical records, accounting, billing, performance improvement and financial statements. Develops and maintains policies and procedures, licenses and permits necessary for the sites, including human resource manual, billing and procedure manual, OSHA, JCAHO and DOH requirements, and ensures compliance with all agencies. Develop community outreach program.

Educational Requirements:

Bachelor’s Degree in Management or commensurate 10+ years experience in healthcare setting, Master’s preferred.

At least eight (8) years successful management experience in a hospital or a medical office practice.

Proficiency with Electronic Medical Record.

Proficiency with Microsoft Office.

Excellent attention to detail and organization.

Effective speaking and writing skills.

Commitment to confidentiality and respect.

Demonstrated ability to handle multiple priorities in a deadline-driven environment.

Understand and embrace a customer service focus.

Scope:

Supporting Primary Care Division

Job Duties and Responsibilities:

Develop and monitor site budgets, initiating cost reduction measures or business growth models as applicable.

Develop efficient staffing models for hospital-based practices across the system, responding to changing needs of the organization while maintaining high quality care delivery models.

Dyad partnership with Chiefs and Provider Leaders across the departments facilitating meetings, project management, and data support to achieve organizational initiatives.

Assist fiscal personnel and Medical Directors with incentive plans and calculations to support incentive payments

Engage in active research, planning and implementation of programs that promote coordinated quality of care. Identify areas for potential business development and work with leadership to develop a viable business plan.

Initiate and develop staffing plans based on projected patient volumes while maintaining key quality indicators and patient/customer satisfaction goals while working within the overall financial parameters established by senior leadership.

Ensure all departments are ensuring the highest quality of care to patients and working to ensure that customer satisfaction is consistent throughout all locations.

Work collaboratively with senior leadership to ensure that all departments are measuring and reporting key operational indicators. Work with various stakeholders to ensure that operations are running effectively and efficiently based on established best practices.

Working closely with administration, serve as liaison between administration and providers.

Responsible for ensuring site coordinators are held accountable for implementing practice operational changes, communicating changes, and reporting key measures in accordance with pre-determined reporting cycles.

Maintains effective communication between providers, Medical Directors and administrative departments to ensure best practice measures are being utilized and operating needs are being met.

Collaborate and communicate effectively with the Chief Operating Team, Managers, and others and participate positively and pro-actively on operations and management committees.

Demonstrate the ability to solve problems related to human resources, financial decisions, and performance improvement.

Work with risk management, legal counsel, and administrative staff to ensure that the practice sites maintain appropriate compliance including privacy and security and confidentiality policies, procedures, forms, information notices, and materials which reflect current system practices and regulatory requirement.

Responsible for hiring and training administrative personnel that develop provider work schedules and daily rounding lists, and oversee day-to-day operations at each hospital

Demonstrate the ability to solve problems through organization, review and proper selection of standard protocol and procedures, and the use of available resources.

Demonstrate the ability to solve problems independently, as well as with teams.

Provide human resource management services for covered sites including but not limited to:

recruitment, orientation and support.

address performance and/or behavior issues appropriately

complete annual performance evaluations

arrange schedules and coverage to ensure smooth operation and patient care communicate practice news, changes and other information as needed

involve the human resources department appropriately in employee relations issues

coach, counsel and support employees and lead by example.

Provide back up in the absence of other St Peter’s Health Partners Medical Associates management personnel.

Work closely with administration, finance, human resources, and compliance/QA to communicate and execute practice-wide policies and procedures.

Attend and participate in all required physician and management meetings and training sessions.

Work closely with finance regarding monthly financial statements and site financial performance. Share information with physicians in a positive and professional manner.

Serve as a resource for physicians and staff with regard to EMR and EPM systems.

Coordinate activities related to physician office participation in available incentive programs.

Maintain patient confidentiality and adhere to HIPAA regulations as appropriate.

Work cooperatively with all team members to ensure quality service at all times.

Communicate respectfully and effectively with providers, clinical staff, colleagues,

management staff and others.

Adhere to St Peter’s Health Partners Medical Associates employment guidelines at all times.

Perform other duties as assigned.

Pay Range:$41.73 - $66.77

Pay is based on experience, skills, and education. Exempt positions under the Fair Labor Standards Act (FLSA) will be paid within the base salary equivalent of the stated hourly rates. The pay range may also vary within the stated range based on location.
