Job Title: Administrative Assistant

Location: Data Center Site: Abilene, TX

Contract Duration: 6 - 18 months

Compensation: $28-30/hr

Job Summary:

We are seeking a highly organized and proactive Administrative Assistant to support our team at a data center site. This role is crucial in ensuring the smooth daily operations of the project site trailer, where approximately 30 engineers are working. The ideal candidate will have experience in administrative roles within construction, engineering, logistics, or industrial environments and will take ownership of administrative tasks to keep the office running efficiently.

Key Responsibilities:

  • Office Management: Maintain office supplies, ensure the workspace is organized, and coordinate office maintenance needs.

  • Technical Support Liaison: Identify the appropriate contacts for resolving Wi-Fi and other office-related technical issues.

  • Scheduling & Coordination: Assist with scheduling meetings, conference room preparation, and visitor logistics.

  • Vendor & Supplier Coordination: Place and track office supply orders and manage relationships with vendors.

  • Event & Meal Coordination: Order and coordinate meals for meetings and team functions.

  • Mail & Courier Services: Process incoming and outgoing mail, FedEx, UPS, and other deliveries.

  • Documentation & Reporting: Prepare project manuals, binders, and documentation packages as needed.

  • Onboarding Support: Assist in coordinating interviews and onboarding new employees.

    Qualifications:

  • 2-5 years of administrative experience, preferably in a construction, engineering, logistics, or industrial setting.

  • Strong written and verbal communication skills.

  • Proficiency in Microsoft Office Suite (PowerPoint, Outlook, Word, and Excel); Visio experience is a plus.

  • Excellent organizational and multitasking abilities.

  • Professional demeanor with a strong customer service mindset.

    Education:

  • High school diploma or equivalent required.

  • Associate or Bachelor's degree in Business Administration or related field is a plus, but not required.
