Business Services Assistant II: Performs administrative office support-related work for department staff, the general public, and [one or more projects and/or specialized programs.] Work requires contact with middle and high-level managers [and private entities]. [May serve as a lead worker.] Employees at this level establish their own work plan and priorities to meet set objectives. Issues are rarely referred to the supervisor but are handled at the occurrence.Business Services Assistant IV:Performs administrative office support-related work for department staff, the general public, and one or more projects and/or specialized programs. Work requires contact with high-level managers, executives, governmental officials and private entities. May serve as a lead worker. Employees at this level establish their own work plan and priorities to meet set objectives. Issues are rarely referred to the supervisor but are handled at the occurrence.The essential duties for the Business Services Assistant II include: Composes and prepares correspondence and applicable recurring or special one-time reports and/or confidential and sensitive communications. Answers the telephone, evaluates requests, answers questions, routes messages, and/or serves as receptionist or front desk assistant. Conducts annual physical inventory; verifies inventory findings, reconciles and enters adjustments in computer system as needed. Reviews, prepares and/or negotiates applicable program purchases for services, office materials, supplies, tools and/or equipment and monitors contracts. Coordinates travel services to include making travel arrangements, securing transportation and lodging services, and submitting reimbursement on the travelerandrsquo;s behalf. Performs asset management to include surplus property and conducting inventory reviews and reconciliation: and serving as a primary contact for first-level technical support to include submitting tickets for malfunctioning hardware Coordinates and schedules employee safety awards and annual Safety Awards Banquet/Truck Rodeo Coordinates safety meetings; usually involves planning and coordinating schedules. Coordinates/processes permits and licenses with applicable resources and regulatory agencies; prepares and maintains annual Tier Two and Workplace Chemical List and submits reports annually. Monitors workers' compensation records Plans, schedules and administers training on safety issues including defensive driving, CPR; maintains training records.Additional duties for Business Services Assistant III include: Coordinates surplus property sales of miscellaneous items. Receives new, retires old and records transferred equipment; witnesses and documents the disposal of retired equipment; ships obsolete equipment to a central storage area. Processes receipts and invoices for payment. Creates requisitions, blanket purchase orders, and enters receipts in PeopleSoft in support of the division or district.Additional duties for Business Services Assistant IV include: Represents the supervisor at meetings and is in contact with other governmental agencies and professional groups. Maintains and updates office files/records/logs and suspense systems and a wide variety of automated systems in support of personnel, finance, budgeting, inventory, contracts, purchasing, and travel information. Trains other clerical or technical staff. Publishes, maintains and coordinates the divisionandrsquo;s/districtandrsquo;s Intranet main page and subsites content, to include but not imited to procedures, announcements, and electronic forms; coordinates changes to the divisionandrsquo;s/districtandrsquo;s content on the departmentandrsquo;s public-facing Internet site. Performs other job responsibilities as assigned.
