Indian Health Service Administrative Support Assistant (OA) in Aberdeen, South Dakota

Summary This position is located at the Great Plains Area Office, Office of Environmental Health and Engineering within the Division of Facilities Management in Aberdeen, SD. The purpose of this position is to perform a wide variety of administrative tasks associated with maintaining and supporting the work performed within the organization. The incumbent reports to the Director of Facilities Management or designee. Responsibilities Processing a wide variety of budgetary transactions and compiling status of funds, and associated reports. Reviews vouchers and purchase requests for accuracy. Compiles and distributes information for use in community profiles, injury reports, position papers. Logs and distributes environmental health survey reports. Independently composes letters and memorandums, manages calendar and appointment schedules, collects and reports data, makes travel arrangements and process reimbursement claims. Background Investigation: If you are selected for this vacancy, you must undergo a pre-employment fingerprint check and background investigation. Qualifications To qualify for this position, your resume must state sufficient experience and/or education, to perform the duties of the specific position for which you are applying. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; social). You will receive credit for all qualifying experience, including volunteer and part time experience. You must clearly identify the duties and responsibilities in each position held and the total number of hours per week. EXPERIENCE AND EDUCATION REQUIREMENTS GS-05: Four (4) years of education above high school OR one (1) year of specialized experience equivalent to at least the GS-04 grade level performing the following type of work and/or tasks: Performing clerical work such as preparing, receiving, reviewing and verifying documents; Maintaining office records; Locating and compiling data or information from files and other data sources; Preparing vouchers and other financial documents. GS-06: One (1) year of specialized experience equivalent to at least the GS-05 grade level performing the following type of work and/or tasks: Creating a variety of correspondence in proper formats using word processing programs; Maintaining manual and electronic calendars to add, delete, or change meetings; Processing a wide variety of budgetary transactions; Serving as a receptionist or point-of-contact for an office; and performing data entry into an automated timekeeping system. GS-07: One (1) year of specialized experience equivalent to at least GS-06 grade level performing the following type of work and/or tasks: Managing calendars and meeting schedules for higher level staff; Performing specialized office tasks in support of a unit including screening training requests; Compiling information from a variety of sources to prepare reports; Processing a wide variety of budgetary transactions. PROFICIENCY REQUIREMENTS In addition to meeting experience or education requirements, applicants for this position must show possession of the following skills, as appropriate. Applicants may meet this requirement by passing the appropriate performance test, presenting a certificate of proficiency from a school or other organization authorized to issue such certificate by the Office of Personnel Management local office, or by self-certifying their proficiency. 40 words per minute typing speed. Performance test results and certificates of proficiency are acceptable for 3-years. Agencies may verify proficiency skills of self-certified applicants by administering the appropriate performance test: 40 words per minute typing speed (words per minute are based on a 5-minute sample with three or fewer errors) Time In Grade Federal employees in the competitive service are also subject to the Time-In-Grade Requirements: Merit Promotion (status) candidates must have completed one year of service at the next lower grade level. Time-In-Grade provisions do not apply under the Excepted Service Examining Plan (ESEP). You must meet all qualification requirements within 30 days of the closing date of the announcement. Education There are no education requirements, however if you are substituting education for experience you are strongly encouraged to submit a copy of your transcripts or a list of your courses including titles, credit hours completed, and grades. This position has promotion potential to the GS-07 grade level.
