Robert Half Administrative Assistant in Columbus, Ohio

Description We are offering a contract to hire employment opportunity for an organized and detail-oriented Service Administrative Assistant in the construction industry. This role is based in Columbus, Ohio and will involve various administrative and accounting responsibilities to support our branch office.

Responsibilities:

• Provide administrative support including general clerical duties and purchasing responsibilities.

• Handle accounts receivable and track past due accounts.

• Maintain all records in our database, including opening tickets, creating new sites, and managing monthly work orders.

• Take incoming service calls and distribute them to the appropriate parties.

• Handle all billing tasks in our database.

• Manage accruals for the service and inspection departments.

• Process payroll for inspectors and service fitters.

• Order material for all service fitters and inspectors.

• Schedule all inspections for service jobs and distribute them to subcontractors.

• Track all permits for service jobs and prepare them for submittal to the appropriate city.

• Assist Service Manager with scheduling manpower for service and inspections.

• Attend weekly service meetings and take notes to submit to Corporate.

• Utilize skills in basic office equipment, data entry, MS Office, and calendar management. Requirements • Minimum of 2 years experience in an administrative role, preferably within the construction industry

• Proficiency in basic office skills such as filing, photocopying, and mail distribution

• Ability to operate basic office equipment including printers, fax machines, and telephones

• Excellent communication skills, both verbal and written

• Experience in data entry, with a high level of accuracy and attention to detail

• Familiarity with MS Office Suite including Word, Excel, and PowerPoint

• Experience in handling a multi-line phone system, including transferring calls and taking messages

• Proficient in calendar management and scheduling appointments

• Ability to manage multiple tasks and priorities in a fast-paced environment

• High level of professionalism and ability to maintain confidentiality

• Strong organizational skills and attention to detail

• Ability to work collaboratively with a team as well as independently.
